Updating Other Person's Status Confirming Other Person's Status 1 Put the cursor on Member Button for more than 2 seconds. Or, click Member 01/02 Button. Then, the presence display of all the registered persons is updated to the latest status. When Member 01/02 displays remains, unless the procedure of Step 1 is not followed, what is displayed will not be changed though other person's status is changed. 1 Click (Member 01 Button) or (Member 02 Button). Line Key Display switches to Member 01 or Member 02 displays. Member 01/02 displays is used when you have registered the other person's number to whom you often make a call or send a short message to make a one-touch operation. There are two panels of Member 01 and Member 02 and each panel can register up to 11 numbers (in total, 22 numbers). For details, refer to "Registering Member". 2 Confirm other person's status. Meanings of each sign are as follows: Sign Meaning When the other person is `present' When the other person is `busy' When the other person is `away' 2 Confirm other person's status. No Sign When the reason is `unknown' When the other person is using a telephone other than Softphone or network trouble occurs, no sign is displayed. 52 How to Use Status Display You want to make a call from Member 01/02 Displays: Refer to "Making a call from Member 01/02 Displays". 3 Click [Setting]. `Member Setting' screen is displayed. You want to send a short message from Member 01/02 Displays: Refer to "Using Member 01/02 Displays". 4 Registering Member Register the person you want to display on Member 01/ 02 displays. Information Window switches to Member 01 or Member 02 displays. 2 Right-click Member Button not registered. The following menu is displayed. 5 Click . Now, the registration is made. 53 How to Use Status Display Changing You can change the registered names and extension numbers. Moving You can move Member Button within the same Member Display. 1 Click (Member 01 Button) or (Member 02 Button). 1 Click (Member 01 Button) or (Member 02 Button). Now, change is made. 54 How to Use Status Display Copying Ex. If you want to copy Member Button on Member 01 display to Member 02 display. 4 (Member 01 Button) or Click (Member 02 Button). Information Window switches to Member 01 or Member 02 displays. 5 Select Member Button in the copying destination and right-click. The following menu is displayed. 2 Select Member Button you want to copy and right-click. The following menu is displayed. < When paste up the button with which another member is registered > < When paste up a non-registered button > 6 3 Click [Copy]. Click [Paste]. Now, copying is made. When you have same more than one buttons, organize the buttons by deleting the unnecessary buttons in the place where they are copied. 55 How to Use Status Display Deleting You can delete the registered person from Member 01/ 02 displays. Informing You are Away (optional) 1 Click (Member 01 Button) or (Member 02 Button). Information Window switches to Member 01 or Member 02 displays. You can make (Away) sign displayed on the other person's Member 01/02 displays when you want to inform that you will be back soon. This setting is available only when you use an optional presence server. Setting 1 Click (Presence Button). The button blinks in blue and the LCD gets dark. Now, `Away' is set. Deleting 2 Right-click Member Button you want to delete. The following menu is displayed. 1 Click (Presence Button). The button goes out and LCD returns to its original brightness. Now, `Away' setting is deleted. 3 Click [Delete]. Now, deletion is made. 56 How to Use Short Message How to Use Short Message You can send a short message to the person running Softphone. When you receive a short message, you can confirm the contents on `Short message log' screen and return the message to the sender. This section describes how to send and receive a short message and how to register Message Template you often use. A short message can be sent or received only among the users logged in to the same PBX. Other person's status shown on Member 01 or Member 02 displays is displayed only when the optional presence server function is used. For details, contact your system administrator. 2 Right-click the person you want to send a short message. The following menu is displayed. Sending There are two ways to send a short message. 3 Click [Short Message]. The following screen is displayed. You cannot send a short message if the person you are sending a message is as follows: - Person who hasn't started Softphone - Person using a telephone other than Softphone Using Member 01/02 Displays 1 Click (Member 01 Button) or (Member 02 Button). 4 Enter a message. Enter a message in the message entering area. Information Window switches to Member 01 or Member 02 displays. 5 Click . The following dialog is displayed. 57 How to Use Short Message Now, a short message is sent to the other person. The sent message is displayed in the list display on `Short message log' screen with ([Already sent] icon). When `Message transmission failure!' dialog is displayed: A short message failed to be sent to the other person due to network congestion and other reasons. Retry the procedure from the beginning. Registering a Message of Message Template You can register messages often sent such as `Call me when back' or `Call me ASAP!' as Message Template. When `Address resolution error (-XXX)' is displayed: When the phone number of the sending destination is entered on `Short message send' screen, `Address resolution succeeded' is displayed and a short message can be sent. When `Address resolution error (-XXX)' is displayed, the person you want to send a message may be using a telephone in which short message is unavailable or his or her Softphone may not be started. Registering You can register a part selected from a short message being made. 1 A message is being made. 4 Enter a message. Enter a message to the message entering area. 2 Select the part you want to register. When the sending destination and sending message are entered, [Send] Button becomes effective. 5 Click . The following dialog is displayed. 3 Click . Now, a short message is sent. ([Already sent] icon) of the sent message is displayed in the list of `Short message log' screen. 59 How to Use Short Message 4 A message is copied to Message Template area. 2 Click Message Template you want to use. Now, the message is registered. Go back to the message you are making and go on to enter a message. [. . . ] In order to use this, service setting on the PBX side is required.
